Monday was the CRM / Project Manager we used before switching to Accelo. This platform worked really well for us for a good while, but our biggest issue was we were having issues scaling as our client base increased past a few dozen, we tried a lot of different ideas and variations, but ultimately couldn’t find a working solution. The layout and behaviour are similar to an excel sheet which makes it very easy to understand and use without much guidance. One issue we encountered was with automations and checks it’s only for the columns and not rows, which was part of our reason for switching.

The automations though are fantastic, you can build them to do just about anything, sometimes though you need to really think thorough an automation as it affects every row in that group. We would have multiple sheets for various parts of our onboarding process, and the automations allowed us to tag someone on one page and auto create them on another and create specific tasks for the next level, all while changing statuses and even emailing us when it happens. This allowed us to be efficient throughout our process and not need to take up valuable time moving around clients or setting taks based on their status.

We do still use Monday as it has been phenominal for bookeeping, in the screenshot is a brief look at our tracking set up, Our frequency column is for pushing out the next due date by a specific amount, we have statuses for various events, if a status is still showing as Invoice sent after a few days it will email us to send a reminder, We can keep tabs on total recurring income at the summary at the bottom, where each are billed through, and if they’re auto payments or manually paid by the clients. We also use it for personal bill and finance tracking, to help keep track of the various recurring payments and bills we have.

This also worked well for keeping a list of our resources, software, documentation we’ve compiled, we just have a name, link to the document or upload to that line. We can alsp split into categories on that page.

The other nice thing was keeping track of our certifications, mainly in Google ads, we would set the expiration date and when we were a month before it expired it would email us, once completed we change the status and it auto pushed the due date by a year.

For sales the automations helped me keep on top of new prospects, I could get reminders if I haven’t heard back in awhile and a status hasn’t changed, I could keep detailed notes about the prospect, and refer to them easily.

This does have dashboards, kanban, and other popular views, the dashboards were a bit limited with what we could connect to it otherwise we would have been able to stay with them, just had too many clients and notn an easy way to have a single place to view everything since everyone was split across multiple boards.

The last option we liked was the email to a board, we used this for automated reports that sent to clients, as we review these weekly and monthly too, this created a single line item for each report and kept the attached PDF. We can use similar automations and statuses to mark as read no issues, or review required to send an email to one of us who is mainly in that account. We can add messages back and forth to each item as well.

Overall this software is a great option for any growing agency, or just for personal use. If you’re familiar with Excel’s layout then this will be a no brainer to work with.
